Three VERY IMPORTANT points:

1. We encounter serious difficulties with bookings from folk who don't seem to know their email address or who provide their work telephone number only. Misspelled email addresses can cause major problems for us. It's always better to email us, so we have an indisputable copy of your email address. We'd also ask that you always provide your home telephone number.

2. QUITE AS IMPORTANT: When you email or use our online form, we reply as soon as we can - normally within twelve hours. However, we only tell you what dates are available. You must confirm that you want to reserve those dates for ten days. If you don't, then the reservation doesn't go into our system, and you might be disappointed.

3. JUST AS IMPORTANT: when we respond to your enquiry, we do so with details of your proposed booking at the top LH corner of the email. If you subsequently email us for anything to do with the booking, please include that information in your own email.

Initially, please use our online availability checking service , or, if you prefer, ring Ian or Eve (see below) to check availability of dates. A provisional booking can then be made which will be held for 10 days. Written confirmation, on the booking form (PDF file below) which you should print out, and a deposit, must be sent within the 10 days to the address shown on the form and NOT to Cornel itself.

A SAE should be sent with UK bookings, for a confirmation card - which will be used as proof of booking when you collect the keys or your keycard will be sent by email as soon as the balance of your hire fee has been paid.

We've tried to keep the booking system as simple as possible. Here's how it works:

There are three main stages to your booking:

1. Enquiry

2. Confirmation and Deposit

3. Balance and keycard

To summarise:

1. Make a telephone or online booking enquiry, then tell us if you want a ten day reservation

2. Send a 50% deposit within ten days to secure the booking (address on the form)

3. Pay the balance at least three weeks before your arrival

Nights away permits (Scout users only)

You must bring your relevant Nights Away Permit (Indoor, Scout camp site or Green field) with you for inspection by the Warden or Keyholder. Please note that Green field or Scout Camp site permit holders do not require an indoor permit. However, those holding only an indoor permit cannot camp without one of the other two permits.

KEYS
These should be collected, on your way to Comel, from
Jim and Lilian Boughton, Bron Celyn Guest House, Lon
Muriau, Llanrwst Road, Betws y Coed LL24 OHD

Please notify the keyholders if you expect to be particularly late collecting keys.

Directions to keyholders if approaching from the A5:
The Guest House is via a service road [Lon Muriau) slightly over half a mile from the Waterloo Bridge on the right hand side of the A470 towards Llanrwst.

Leave your booking confirmation card - which will be sent to you on payment of your balance - as proof of collection and this will be returned to you when you take back the keys. Please report any problems, or breakages, when you return the keys.

If approaching from the A470 through Llanrwst, Lon Muriau is 3.4 miles past the Llanrwst Bridge (just outside Llanrwst town centre) on the left.

Remember: deposit within ten days to secure your booking. Balance not later than three weeks before arrival. Everyone involved in operating Cornel is an unpaid volunteer - just like you. It takes an enormous amount of time to chase up folk who don't organise themselves well enough to pay their balances on time. When you send the balance, always return the tear-off slip with the booking reference that was provided in the original confirmation email we sent you. Otherwise, we won't know who the money is for...

Please note: For local authorities who wish to view a copy of our Public Liability Insurance, a pdf of it may be downloaded from here. For other organisations not primarily involved with children, it is a requirement of booking that you must read the Scout Association's child protection policy and complete the booking form accordingly.

As the Centre is heavily used throughout the year you are advised to plan your visit well in advance.

It's worth mentioning at this point that we get many of the same questions year in, year out about payments. Here's some common questions and excuses - all real ones that people have used - together with the solutions:

The reservation process

Why aren't the dates you told me were available, free anymore?

We only start that process when you tell us explicitly that you want us to. The email confirming availability tells you that you must get back to us and tell us that you want us to reserve the dates for ten days. If you don't do that, the next person asking for the dates might get them.

Where to send the deposit and form

"I was unable to locate the address to send booking information to"

It's printed at the top of the booking form.

When to send the deposit

"Is it alright to send the deposit as soon as we've collected the money?"

The deposit is how you secure your slot and it's important that it's paid, otherwise your slot will be released. Ask your group treasurer to pay the deposit from the group funds; well organised groups do it that way.

"I sent the cheque weeks ago, but it must have got lost"

That's possible, but we aim to send out a receipt by email or snail-mail the same day. If you didn't get a receipt or acknowledgement within five days, you should contact us. We're easy to get hold of!

"I couldn't find the booking form"

If you email us with that sort of query we get straight back to you. However, it's surprising the number of folk who don't bother replying to an email we send to help them. It's nice to know that you've received our email and that it's helped you out.

"I'll pay you when we get there as we don't know how many campers we'll have"

It's true that numbers can vary up to the last minute (we've all run our own Scout groups) but it is a condition that we get the approximate full payment in at least three weeks before your visit. Any adjustments can be made when you arrive.

"We haven't had our key card back"

We've changed the system to an all electronic one, now, and we send you your keycard via email - a special url from where you can print out the specific card for your group's visit. If you don't have access to email, however, we'll still happily send you an old style card via snail-mail.

"I'll be on holiday 'till the week before we arrive. is it alright if I pay you then?"

No. The booking conditions clearly state that payment is due three weeks before you arrive. If you don't pay on time, it is entirely possible that we will be forced to cancel your booking. We don't like doing things like that - we've all run our own groups - but it's our responsibility to ensure Cornel will be offering a great place to camp for Scouts for many years and to do that we must ensure that everyone pays.

How much deposit d'you need and are there any forms I need to send?

All this information is on the site.

The treasurer's been on holiday so I couldn't pay you on time.

We've changed the signatures on our accounts and we're waiting for new cheque books

No comment - again.

"We sent the cheque several weeks ago - but we might have sent it to Cornel itself"

Although the warden team visit Cornel very regularly, it's entirely possible that your letter will be accidentally taken by a group staying there, or won't be picked up for some time.

BOOKING CONDITIONS
1. Booking is from 4pm on the day of arrival until 3pm
on the day of departure.

2. In the event of a confirmed booking being cancelled, every effort will be made to re-let the booking when a refund will be made. You might, therefore, consider insuring against cancellation.

3. Use of the facilities is restricted to members of the booked party.

4. Breakages and damage must be reported to the
warden or key holder and paid for.

5. Sorry; no pets allowed at the Centre or on the camping field.

6. This doesn't happen very often, but it seems to be on the increase. In the event the bank returns any cheque through there being insufficient funds in your account we will notify you and you will have five days to send the full amount for the booking.

7. All gates must be kept shut as there are free grazing sheep in the area and as we have a newly planted plantation we do not want them getting in to eat the tops out of the young trees!
